Elevated Conference Calls & Video Conferences

Do you find yourself having more conference calls and video calls now? The tips below will help you elevate hosting and participating virtually.

Install Apps

Install the typical conference apps you will use and create your account. For example, if you find yourself using Webex Meetings, Zoom or Go To Meeting frequently, install the apps on your mobile devices. Installing the apps will make connecting to meetings easier for you.

Test Technology

Test the technology you are going to use before you connect to a meeting or host a meeting. If you are not sure how to use the software or technology, have a friend help you and do a dry-run meeting.

Camera Location

The location of your camera is important! Location! Location! Location! The camera should be eye-level. You should not look down at the camera. Did you know if you are looking down at the camera, your viewers are looking up your nose?

Where to Look

Now that you have your camera at eye level, you should look in the camera. Do not look at the screen. I know it’s hard…I am guilty of it myself. But once you are aware you will always try to look at the camera.

The Most Important Button

The mute button might be the most important button on a call. Keep your phone on mute! Always ask yourself throughout the meeting, “is my phone on mute”? Attendees do not need to hear you in your car or people talking around you.

Lighting

Make sure you have good lighting, especially if you are video conferencing continuously. Even if you do not invest in lighting, use the lamps and ceiling lights you have already. Try them with brighter bulbs.

Body Language

Body language is just as important on a conference call as it is on a video conference. Make sure you sit up straight and smile. Did you know even if you are only on the phone, listeners can tell if you are smiling while you are talking?

When Should You Announce Yourself

Announce yourself if the meeting has not started or if the host requested you announce yourself. If you get disconnected, rejoin the call. Do not announce yourself again and explain what happened. If you join late, do not announce yourself even if the system tells you to…you are interrupting the meeting!

Background

Make sure you have an appropriate background, even if it’s just a white wall. If you are using a virtual background make sure it is clear on camera. If the virtual background is not clear and you do not appear clear against the virtual background try blurring your background instead of using a virtual background. Or do not use a virtual background.

Stay Engaged

Pay attention during the call. If someone asks you a question, you want to be prepared to answer without having the host repeat the question.
